How email append works
You send a file with the information you already have, typically a person's name together with their company name or website. Each record is matched against business contact data. Where a confident match is found, a business email address is added and verified before it is returned to you.
What you need to send
- Required: first and last name, plus company name or company website.
- Helpful: job title, location and phone number, which improve match confidence.
- Format: a CSV or Excel file with one record per row and clear column headings.
Match rates: what affects them
No provider can match every record. Match rates depend on the quality and freshness of your input, how complete each record is, the industries and regions involved, and how strictly emails are verified. A reputable provider would rather return fewer, verified emails than more unverified ones.
When to use email append
- Re-engagement: reaching lapsed customers and old leads.
- Event follow-up: completing attendee and registrant lists.
- Account-based campaigns: adding emails for named contacts at target accounts.
- CRM completion: closing email gaps across your database.
Verification is essential
An appended email that bounces does more harm than good, because high bounce rates damage your sender reputation. Make sure appended emails are verified for format, domain and mailbox, and that role addresses (such as info@) and risky addresses are flagged or excluded.
Responsible use
Email append should be used for relevant B2B communication. Follow the email marketing laws in each country you target, include a clear unsubscribe option, and honour opt-outs promptly. Our guide to B2B data compliance explains the main rules.
